Refund and Cancellation Policy

At Das Karate Academy, we aim to provide clear and transparent policies regarding fees, cancellations, refunds, training services, events, uniforms, and other academy-related payments.
By enrolling in our academy, booking a class, purchasing any product, registering for an event, or making any payment through our website or official payment channels, you agree to the Refund and Cancellation Policy mentioned below.
1. General Refund Policy
All payments made to Das Karate Academy are generally non-refundable once the service, product, class, registration, booking, or event process has started.
Refunds, if applicable, will be considered only after proper review and approval by the academy management.
Refund approval depends on the type of payment, reason for cancellation, service usage, attendance status, product condition, and other relevant circumstances.
2. Training Fee Refund
Training fees paid for karate classes, fitness classes, self-defence classes, special training, personal training, or any academy program are generally non-refundable.
Once the student has joined the class or the training period has started, the paid fee cannot be refunded for reasons such as:
- Change of mind
- Irregular attendance
- Personal schedule issues
- Relocation
- School or office timing changes
- Loss of interest
- Failure to attend classes
- Student not continuing the course
Students and parents are requested to understand the class schedule, fee structure, and training commitment before making payment.
3. Registration Fee and Renewal Fee
Registration fees, admission fees, renewal fees, association fees, and administrative charges are non-refundable under all circumstances.
These charges are collected for student registration, record maintenance, academy administration, and student-related processing.
4. Trial Class Cancellation
Trial classes may be booked based on availability.
If a student is unable to attend a scheduled trial class, they may request rescheduling in advance. Rescheduling is subject to availability and academy approval.
Trial class fees, if charged, may not be refundable once the booking is confirmed. However, Das Karate Academy may allow rescheduling at its discretion.
5. Package Cancellation
For quarterly, half-yearly, yearly, or any other package-based enrollment, cancellation after payment is generally not allowed.
Package fees are calculated based on the selected duration and benefits offered. Once the package is activated, it cannot be cancelled midway for a refund.
Any extension, adjustment, or transfer of training period will be considered only in special cases and will be at the sole discretion of Das Karate Academy.
6. Medical or Emergency Cases
In genuine medical emergencies or serious personal situations, the student/parent may submit a written request along with valid supporting documents.
Das Karate Academy may review such cases and may offer one of the following, depending on the situation:
- Temporary pause of training
- Extension of training period
- Adjustment in future classes
- Partial refund, only if approved by management
Approval is not guaranteed and will depend on the nature of the case and academy policy.
7. Grading Fee Refund
Grading fees, examination fees, belt promotion fees, certification fees, and related charges are non-refundable once the student’s name has been registered or the preparation/processing has started.
Payment of grading fees does not guarantee promotion, belt upgrade, certificate approval, or rank confirmation. The final result depends on the student’s performance, attendance, discipline, technical knowledge, fitness, and instructor approval.
8. Tournament and Event Fee Refund
Tournament fees, event fees, seminar fees, camp fees, workshop fees, and special program fees are generally non-refundable after registration.
These fees may include registration, planning, instructor time, venue arrangements, external coordination, certificates, medals, travel planning, or other event-related expenses.
If an event is cancelled by Das Karate Academy, the academy may offer a refund, adjustment, or rescheduling option.
If a student cancels or does not attend after registration, no refund will be provided.
9. Uniforms, Accessories, and Products
Payments made for uniforms, belts, protective gear, training accessories, merchandise, or other products are generally non-refundable once the order is confirmed, packed, delivered, used, altered, washed, damaged, or customized.
Replacement or exchange may be considered only in the following cases:
- Wrong product delivered
- Wrong size delivered by mistake
- Manufacturing defect
- Product damaged before delivery
Any product-related issue must be reported to Das Karate Academy within 48 hours of receiving the product.
Products must be unused, unwashed, undamaged, and returned in original condition for any exchange request to be considered.
10. Duplicate or Excess Payment
If a duplicate payment or excess payment is made by mistake, the student/parent/customer must inform Das Karate Academy with valid payment proof.
After verification, the extra amount may be refunded or adjusted against future fees or purchases.
Refunds for duplicate or excess payments may take a reasonable number of working days after verification.
11. Failed or Pending Payments
In case of failed, pending, or delayed payment status, the student/parent/customer must check with their bank or payment provider.
Das Karate Academy will confirm the payment only after the amount is successfully received in the academy’s account.
If money is deducted but not received by Das Karate Academy, the refund or reversal will depend on the bank or payment processing timelines.
12. Refund Processing Time
Approved refunds may take approximately 7 to 10 working days to process after internal verification.
In some cases, the refund timeline may vary depending on bank processing time, payment method, holidays, or technical issues beyond our control.
Refunds will generally be processed to the original payment method or through another approved method decided by Das Karate Academy.
13. Cancellation by Das Karate Academy
Das Karate Academy reserves the right to cancel, postpone, reschedule, or modify any class, batch, event, grading, seminar, workshop, or program due to unavoidable circumstances such as:
- Instructor unavailability
- Low participation
- Safety concerns
- Venue issues
- Government restrictions
- Natural calamities
- Technical or operational reasons
- Any situation beyond academy control
In such cases, the academy may provide a rescheduled date, alternative batch, fee adjustment, credit, or refund depending on the situation.
14. No Refund for Disciplinary Action
No refund will be provided if a student is suspended, restricted, or removed from the academy due to:
- Misconduct
- Repeated indiscipline
- Unsafe behavior
- Disrespect toward instructors or students
- Violation of academy rules
- Non-payment of dues
- False information during admission
Das Karate Academy maintains a disciplined and safe training environment for all students.
15. How to Request a Refund or Cancellation
To request a refund, cancellation, adjustment, or rescheduling, please contact Das Karate Academy with the following details:
- Student name
- Parent/guardian name, if applicable
- Registered mobile number
- Payment date
- Payment amount
- Reason for refund/cancellation request
- Payment proof or invoice details
All requests must be submitted through official communication channels only.
16. Final Decision
All refund, cancellation, extension, adjustment, exchange, or rescheduling decisions will be taken by Das Karate Academy after proper review.
The decision of Das Karate Academy will be final and binding.
